Position Overview
Obelisco Estate Winery is seeking a highly organized, creative, and detail-oriented
Administrative Assistant to support the General Manager in daily operations, marketing
coordination, event promotion, graphic design, and administrative tasks. This role is ideal for
someone who enjoys wearing many hats, thrives in a fast-paced hospitality environment, and
has strong communication, organizational, and design skills.
This position plays a key role in maintaining the polished and upscale visual presentation of the
winery through administrative support, event coordination, marketing execution, and branded
graphic design.
The ideal candidate is proactive, tech-savvy, creative, and passionate about hospitality, events,
customer service, and the wine industry.
Key Responsibilities
Administrative Support
Provide direct administrative support to the General Manager
Organize digital files, spreadsheets, and documents
Help coordinate vendor communication and winery operations
Assist with ordering office and hospitality supplies
Support internal projects and operational needs as assigned
Marketing, Events & Promotion
Create and schedule weekly event postings across multiple online platforms, community
calendars, and event websites
Update winery website event pages and social media event listings
Coordinate promotional messaging for winery events, wine club activities, food truck
nights, live music, seasonal promotions, and special events
Assist with email marketing campaigns and newsletters
Help maintain consistent winery branding across digital and print platforms
Coordinate with musicians, food trucks, vendors, event partners, and outside
organizations regarding promotional materials and event details
Assist with customer engagement, reviews, and winery communications
Graphic Design & Brand Support
This role includes supporting the winery’s branding, marketing, and promotional efforts through
the creation of professional, high-quality visual materials for both in-house and offsite events.
The Administrative Assistant will help ensure all winery collateral maintains a consistent luxury
brand image and meets Obelisco Estate Winery standards.
Responsibilities include:
Designing graphics and promotional materials for offsite events including wine walks,
tastings, festivals, auctions, and industry events such as Taste Washington and Auction of
Washington Wines
Working with provided media kits while redesigning or elevating graphics as needed to
align with winery branding and quality standards
Creating in-house event materials including Wine Club menus, Tasting menus, tasting
note sheets, food truck and live music flyers, and event signage
Designing tasting room collateral including sales flyers, menus, instructional staff
materials, technical sheets, and promotional signage
Assisting with custom marketing projects such as brochures, banners, Wine Club
promotional cards, bottle displays, and branded materials
Supporting winery sales initiatives by creating marketing materials for the sales team,
including shelf talkers, bottle shots, retail signage, and promotional displays
Using Canva and other design tools to maintain consistent branding across print and
digital platforms
Additional Duties
Support tasting room and event operations when needed
Help prepare materials for meetings, events, and promotions
Perform other administrative, marketing, and hospitality-related tasks as assigned
Qualifications
Previous administrative, hospitality, winery, marketing experience preferred
Strong organizational and multitasking skills
Excellent written and verbal communication skills
Experience with Canva required
Experience with email marketing platforms is a plus
Proficiency in Microsoft Office and/or Google Workspace
Ability to work independently, prioritize tasks, and meet deadlines
Professional, positive, and customer-focused attitude
Strong attention to detail and visual presentation
Wine industry interest or experience preferred
Preferred Skills
Graphic design and promotional content creation
Familiarity with winery POS or CRM systems such as OrderPort is a plus
Ability to maintain consistent luxury branding and presentation standards
Physical Requirements
Ability to stand for extended periods during events
Ability to lift and carry up to 50 pounds, including wine cases and event materials
Ability to occasionally work evenings, weekends, and winery events as needed
